Managing Surveys
The list of questions available on employee training surveys is managed in this area. There is only one set of questions for all surveys. You can modify, add and archive questions as needed.
Each agency can determine how long the window to complete a survey is open for (default is 14 days) and how many days the reminder goes out prior to the windows closing.
The questions you create are important. Take your time to determine exactly what you want to collect before you let your employees take surveys. The same questions are used on EVERY survey, and you do NOT want to change your quesiotns after you start using surveys or you will lost important data you have already collected. Make sure your questions are easy to answer.
An employee MUST be marked as notified for a survey link to be visible on their dashboard. Employees NOT notified will not see links to the survey or receive survey reminder emails.
Surveys can ONLY be completed by employees who have log-in accounts in PSTracker.
Managing Survey Questions
To manage Survey Questions, from the training Sub-Menu click the Surveys button.
This brings you to the list of survey questions.
The question list is a drag and drop sortable list. The order the questions appear in this list is the order questions will appear on the surveys.
Editing Questions
To edit an existing question, click the edit button.
Make your changes and click Save Question.
Adding Questions
To add a question, click the Add Question button on the sub-menu.
Enter the question text (maximum of 255 characters).
Click Add Question.
Survey Configuration Settings
There are 3 configuration settings on the Agency Confitg => Training tab.
- Use Surveys - Turrns the survey enhancement on or off system wide.
- Survey Open For X Days After Event - This setting works two ways. (Completed takes Priority)
- How many days are surveys open after the event ends. - OR -
- How many days is the survey open after an employee has completed the event.
- Send Survey Reminder X Days Prior To Close of Survey - The number of days PRIOR to the closing date of the sr=urvey, that a reminder email is sent to the employee(s)
Activating & Viewing Surveys on Courses and Events
To activate a survey on a course or event toggle Use Surveys on the Course or Event create or edit pages.
Viewing Completed Survey Results
You can view the completed surveys and questions on the Manage and View pages for both Courses and Events.
Courses
From the Manage Courses page you can see the 5-Start rating at the far right of every course where surveys are active. The 5-star rating is the average rating based upon the employee ratings from every event based upon this course.
From the View Course page you can see the 5-star rating for every event that used surveys.
From the Surveys tab you an read the answers to the survey questions for every event based upon this course.
Events
From the Manage Events page you can see the 5-Start rating at the far right of every event where surveys are active. The 5-star rating is the average rating based upon the employee ratings for this specific event.
From the View Event page you can see the 5-star rating for this specific event.
From the Surveys tab you an read the answers to the survey questions for this specific event.
Re-opening a survey for an employee
When the survey window has closed, and an employee has not completed a survey, you can manually reopen a survey for a specific employee by clicking the pencil icon next to the words Survey Closed and confirming you want to re-open the survey for that specific employee.
