Using Checklists
The Checklists module helps you track task completion for employees. Whether it's onboarding a new hire, processing a separation, or any recurring set of tasks, checklists ensure nothing gets missed and provide a clear audit trail of who completed what and when.
Accessing Checklists
Navigate to VIEW => Checklist from the main menu. You'll see a list of all checklists you have access to, showing:
- Employee name
- Checklist type (template name)
- Progress bar showing completion percentage
- Status (Active or Closed)
- Flagged items indicator
Use the filters at the top to narrow down by status, template, or employee.

Starting a New Checklist
- Click the New => Checklist button
- Select the template (checklist type)
- Select the employee this checklist is for
- Optionally, check Restrict editing to limit who can update the checklist
- Click Start Checklist
Note: An employee can only have one active checklist of each type at a time.

Working With a Checklist
View Options
Toggle between two views using the segmented control at the top:
- List View: Traditional table format showing all items with checkboxes
- Kanban View: Visual board with Pending and Completed columns - drag and drop items between columns
Completing Items
In List View:
- Click the checkbox next to an item to mark it complete
- Click again to uncheck if needed

In Kanban View:
- Drag an item from the Pending column to the Completed column
- Or click the checkmark button on the item card

Flagging Items
Click the flag icon on any item to mark it as needing attention. Flagged items appear with a red indicator and are counted in the checklist summary.
Use flags to highlight items that are:
- Blocked by something else
- Need follow-up
- Require supervisor review
Adding Notes
Click the note icon on any item to add comments. Notes are saved automatically and visible to anyone viewing the checklist.
Use notes to:
- Document important details
- Explain delays
- Record relevant information
Assigning Items
Click the avatar/assignment icon to assign specific users to an item. Assignments help distribute work and clarify responsibility. Multiple users can be assigned to a single item.

Closing a Checklist
Once all items are complete (or you need to finalize the checklist):
- Click the Settings (gear) icon
- Select Close Checklist
- Confirm the action
Closed checklists become read-only and serve as a permanent record. They can be reopened if needed by administrators.

Activity Log
Click Activity in the navigation to view a complete audit trail of all actions taken on the checklist, including:
- Who completed items
- When notes were added
- Any status changes
This log cannot be edited and provides accountability.

Tips for Success
- Check the checklist daily to stay on top of pending items
- Use flags to highlight blockers and communicate issues
- Add notes to document decisions and important details
- Assign items to specific people to clarify ownership
- Use Kanban view for a quick visual overview of progress
