Employee Log - Add
Adding Entries
Your Group must be set to allow creation of entries, additionally, you must have the system permission of Employee Log Create to add entries in the Employee Log.
The ability to select types and categories is based upon the group you belong to and is set by your agency administrators. It is set at the category level.
Workflow (Optional per category)
This article walks you though an example that does not use workflow, however there is a separate section at the bottom of this article on using workflow. Not every category uses workflow. If a category uses workflow you will see a workflow section at the bottom of the entry.
New Employee Log Entry
To add a new Employee Log Entry, navigate to NEW => Employee Log.
You will see the New Employee Log Entry screen.

- Select the Entry Type
- Select the Category. Note the categories change depending on the Type chosen. The categories you are able to select are also dependent on which categories your system administrator assigned to your Hierarchy Group.
- Select the Employee(s)
- Click Begin Entry.
At this point the shell of the entry has been created and you may save and return to this entry at any time. - You are taken New Employee Entry Screen
- Depending on your groups permissions you may have one or more buttons at the top of the entry.
- Edit Type/Category:
You can edit the Type and Category if necessary - Add File To Entry:
You can add files to this entry
After attaching files they will appear at the bottom of the entry. - Manage Employee(s):
You can modify the employees this entry pertains to. - Mark Confidential:
- Mark Purgeable:
Entries marked as Confidential or Purgeable will have Visible Flags within the entry. - Delete Entry:
The delete entry button will only be visible until the entry is completed, unless your group has delete permissions.
- Edit Type/Category:
- At the bottom of the Log Entry screen you will see three buttons

- Complete Entry:
Completes the entry. Note: An entry can not be edited once completed unless the entry has been set for edit and the user has Hierarchy Group edit permissions. - Save and Reload:
Saves and reloads the entry for you to continue working. - Save and Exit:
Saves and exits from the tnrey back to the dashboard.
- Complete Entry:

- Enter your narrative in the text editor.
- When you are ready to complete your entry you have several options.

- Entry is Editable (this is OFF by default)
- Send Employee(s) email notification of this entry (ON by default)
- Select person(s) to email in addition to employee(s):
- Entry is Editable (this is OFF by default)

- When you are done with the entry, click Complete Entry.
- You are taken to the Search Employee Log Entry screen and notified of your success.
- To view the completed entry, click the VIEW button for the entry from the list.
- Select the Entry Type

Using Templates within the entry
PSTrackers text editor has the ability to insert agency specific pre-formatted content directly into the editor window. Common uses include a numbered list of items you require personnel to document, or an html table you fill out for each entry.
Templates are added and maintained by your agency's Employee Log Manager.
To insert a template into the text editor:

- Place your cursor at the exact spot in the editor you want to insert the content.
- Click the template button on t the text editors toolbar.
- A small window will open with a list of your agency's templates.
- Click the name of the template to insert that content into the text editor.
- Once the content is inserted, you may modify your content as needed.
- Save your entry.
- Place your cursor at the exact spot in the editor you want to insert the content.
Notifications sent out
If you select that notifications go out, employe(s) and other personnel will receive email notifications about this new employee entry.
Employee Log Status
If your agency tracks the Status of your entries, you can use the Status field to do so.
Modify the status as necessary and click Save or Complete Entry.
Editing Status
To update the status of an existing entry, locate and view that entry
Click the Edit button at the top of the entry
Modify the Status field and click Save Entry

Workflow
Not every category uses workflow, if yours does, this section explains how to use workflow. If you have the permission to use workflow, you also have the permissions to compete workflow. Most reviewers will use the WORKFLOW section, and only a small few will use the COMPLETE section. Your agency process/policy shall dictate who can complete an entry.
The employee log workflow process is a way to forward employee log entries either up the chain (or through a group of people - such as a committee) for their review and approval.
If the employee log entry you are creating uses workflow, instead of a complete button at the bottom you will see a workflow section.
Select the person you would like the entry to be forwarded to for their review and click Submit Entry. That person will receive an email advising them they have an entry for review.
An approve entry link will also appear on their dashboard.
When the click on the link they will see the review screen where they can approve and pass along using WORKFLOW, OR complete using the COMPLETE section.
Using Workflow
Review the entry. You can see the review history in the WORKFLOW section. Select the next person it should be sent to for review and click Process Employee Log Workflow as Reviewed. The person selected will receive an email advising them of the need to review the entry.
Completing an Employee Log Entry
If you are the final person to review, you will need to complete the entry. Select a Status, and click Complete /Approve Employee log Entry.
