Responding to an Information Request
Your goal is to fulfill and COMPLETE your assigned request. Completing the request marks the final step in the Request process for the assigned employee.
If you have been assigned a Request, you can locate a link to it within the Active area on your PSTracker dashboard or by navigating to View =>My Requests.
From your Dashboard click on an active Request.
If you click on a request from your dashboard you are taken directly to the View Request screen
Alternatively, from the Navigation click on My Requests.
You will be shown a list of requests assigned to you.
Click the View button to be taken to the View Request Screen.
Depending on your role and permissions, you will see one or more buttons at the top right of the Request Details area. You use these buttons to manage the request.
Editing a Request
Editing a request requires specific permission. See our article on Managing Existing Requests below.
Adding a Comment
Click the comment button at the top right of the Request Details area.
A modal will open.
Enter a comment and click Add Comment.
Unless toggled OFF an email notification will go out to the original creator of the request.
Comments appear below the Request Details Section.
Attaching Images & Files
Click the files button at the top right of the Request Details area.
You are taken to the File Management screen.
Manage the files as necessary. When done click Continue to View Request.
Files appear at the right side of the screen below the Status area.
If necessary you can download All images or All files by clicking on those specific buttons.
You can also download documents one at a time.
Updating the Status
Updating the status is not required unless your agency specifically mandates it. It is an optional step designed to keep everyone informed about the current progress of the request.
To update the Status of a Request, click the status button at the top right of the Request Details area.
A modal will open.
Select a status and click Update Status.
Enter a Note (optional).
Unless toggled OFF an email notification will go out to the original creator of the request.
The updates status appears at the top right of the Request in the Status History.
The new Status also appears in the Request Details area.
Completing the Request
Every Request must be Completed. This marks the final step in the Request process for the assigned employee.
When you have fulfilled the requirements of the request, you mark the request as Complete. Doing so sends a notification email to the creator of the request that you have fulfilled the request.
Click the complete button at the top right of the Request Details area.
A modal will open.
Enter a comment into the completion notes (optional).
Click Mark Complete.
The Page refreshes with an updated Status of Complete and a Comment noting the request was completed. The management buttons have been reduced to just the comment button.
You have fulfilled the request - no further action is necessary.
Unless toggled OFF an email notification will go out to the original creator of the request.
Request Due Emails
If your agency has activated request due emails, you may receive emails when:
- Request is due in X Days
- Request is due today
- Request Overdue
Each agency can customize how many days prior to the due date the Request Due email is sent out.
