Quartermaster Request Management - Kanban Board
The Quartermaster Requests Kanban Board provides a visual, drag-and-drop interface for managing equipment and supply requests. Requests are displayed as cards organized into columns by status, making it easy to see the state of all requests at a glance.

Note: Your agency may have renamed this module (e.g., "Uniform Requests," "Supply Requests"). The functionality remains the same regardless of the name.
Accessing the Kanban Board
Navigate to Quartermaster → Requests, then using the sub nav click on Request Kanban.
Required Permissions: Quartermaster Manager or Administrator
Understanding the Board Layout
The board displays five columns representing request statuses:

| Workflow | Blue | Requests currently moving through the approval workflow |
| Pending Order Creation* | Light Blue | Requests that have been approved and are ready for fulfillment |
| Disapproved | Red | Requests that were denied |
| Order Created | Green | Requests where the order has been placed/fulfilled |
| Canceled | Gray | Requests that were canceled |
*The "Pending Order Creation" column name may vary based on your agency's configuration (e.g., "Ready for Order," "Pending Fulfillment").
Each column header shows the status name and a count of cards in that column.
Understanding Request Cards
Each card displays:
- Request ID — Click to view full request details (e.g., #1234)
- Bell Icon — Green bell badge appears if the request requires YOUR action
- Employee Name — The person who submitted the request
- Justification — Why the items are needed (truncated if long)
- Next Approver — Shows who needs to act on the request (Workflow status only)
- Date — When the request was created
Cards requiring your action are highlighted with a green left border and light green background.
Moving Requests Between Statuses (Drag and Drop)
To change a request's status:
- Click and hold a card
- Drag it to the desired status column
- Release the card — a confirmation modal will appear
- Add an optional comment (appears in the notification email only)
- Choose whether to notify the employee via email
- Optionally select additional people to notify
- Click Update Status to confirm
If you cancel the modal, the card returns to its original column.
Special Case: Moving to Workflow
When dragging a card TO the Workflow column (from any other status), you'll see the Re-Route to Workflow modal instead. This requires you to select who should receive the request next.


Re-Routing Requests
For requests in the Workflow column, you can change who should act on the request next without changing the status.
- Find the teal turn arrow icon (◇→) next to the current approver's name on the card
- Click the icon
- Select the new person from the dropdown
- Add an optional comment
- Choose notification options
- Click Re-Route Request
This is useful when:
- Someone is out of office
- The request was sent to the wrong person
- You need to add an additional approval step

Filtering the Board
My Action Needed Filter
Toggle the "My Action Needed" switch to show only requests where YOU are the next approver. The badge next to this toggle shows how many requests need your attention.
Search Filter
Type in the search box to filter cards by:
- Request ID
- Employee name
- Justification text
Click the X to clear the search.
Date Range Filter
Use the date dropdown to limit which requests appear:
- Last 365 Days (default)
- Last 180 Days
- Last 90 Days
- Last 30 Days
- This Year
- Last Year
- All Time
Employee Filter
Select a specific employee to see only their requests. Use the searchable dropdown to find the employee quickly.
Email Notifications
When you change a status or re-route a request, the system can send email notifications:
- Advise Employee — Checked by default. Sends an email to the requesting employee.
- Comment — Optional text that appears in the email body (not saved to the request record).
- Also Send To — Select additional people to receive the notification. Hold Ctrl (Windows) or Cmd (Mac) to select multiple people.
Typical Workflow Example
- Employee submits request → Card appears in Workflow column
- Supervisor reviews → Approves and drags to Approved column (or Disapproves)
- Quartermaster sees approved request → Orders items, drags to Order Created
- Quartermaster Creates order (See Creating an Order - link below)
- Items arrive → Employee picks up equipment
Use the My Action Needed filter at each step to see only the requests waiting for your action.
Tips for Efficient Use
- Start your day by toggling "My Action Needed" to see what requires your attention
- Use the Approved column as your ordering queue — these are ready to fulfill
- Check justifications on cards to prioritize urgent requests
- Use date filters to focus on recent requests and keep the board manageable
- Click card titles to open the full request view when you need item details
