Managing Employee Automated Emails
You must be a system administrator to manage other employees automated emails.
There are three administrative areas to manage automated emails.
To manage automated emails navigate to Your Name => Admin Tools.
The three areas to manage automated emails are:
Inspection Work Order Section
- Inspection Issue turned into work orders.
Automated Emails
- Date Reminders
- Work Orders
- Inspection Issue emails (alternative way than using Inspection Work Order Section above)
Automated Emails - By Employee
- Specific employees email options.
The easiest way to manage a specific employees emails is: Automated Emails - By Employee.
Using the Main Admin Tools section, select one of the three email management options:
Inspection Work Order Section
This method displays list of the current employees email assignments by Inspection Section.
- Emails will go out when a work order is created based upon the section.
To Add
To add additional emails to an employee click the Add Employee To Email button at the upper right.
- Select the Employee
- Select the Inspection Section
- Click Add Employee to Email
To Delete
To delete any of the emails click the Delete button at the far right of the specific row.
Note: You may also manage Inspection Section emails using the Automated Emails process
Automated Emails
This method displays list of the current employees email assignments for Date Reminders, Work Orders and Inspection Sections.
- For Date Reminders - Emails go out when the date nears.
- For Work Orders - Emails go out when a new work order is created for the item.
- For Sections - Emails go out when a work order is created based upon the section.
To Add
To add additional emails to an employee click the Add Automated Email button at the upper right.
- Select the Employee
- Select the Module
- If Equipment Module, select the specific Sub-module(s)
- If Events Module, select the specific Event Type(s)
If Supervisors Log Module, select the Specific Log Type(s).
(Note the Supervisor Log module is being sunset)
- If Recurring Maintenance, select the Specific Maintenance Type(s)
- Select the Email Type (disregard email type for event and sup log modules)
- Date Reminders
- Work Orders
- Recurring Maintenance
- If you have access to multiple departments, select the proper department
- Click Add Automated Email
To Delete
To delete any of the emails click the Delete button at the far right of the specific row.
Automated Emails - By Employee
This process is the easiest way to manage automated emails for specific employees.
Select the employee you wish to manage emails for.
You are shown the list of available emails.
Check the emails you wish the employee to receive
Click Update Employees Automated Emails to complete the procees.
